Operations Specialist / Bookkeeper

Job Title:   Operations Specialist / Bookkeeper

Job Summary:  The Operations Specialist is responsible for the maintenance of the company database(CRM & CEO+), payroll, quarterly taxes, bank reconciliation. He or she will also support the growth and support of our CEO Program’s nationwide through lead/informational request management, event planning, and resource management. This position reports directly to the Executive Director.

Duties/Responsibilities:

  • Serves as the Database Administrator for the company Customer Relationship Management
    • Manage organizations CRM, assist in list management, organize and present company data, maintain connectivity between CRM and internal extranet.
    • Ensure that the system is working properly by troubleshooting and correcting issues as they arise.
    • Assisting with database design and development
    • Managing Database access rights and security measures
    • Regulating data and informational input
  • Assists in Coordinating events such as:
    • The Annual National Conference
    • Onboard or development trainings
    • Midland Institute resource management
      • Editing, numbering and uploading documents as needed
      • Identifying potential gaps in information and resources
  • Vendor management
  • Coordinates books sales, administration of the personality profile, general office maintenance, and mailing needs
  • Creates and coordinates outreach for events such as webinars, meetings, trainings, etc.
  • Provides required support for other team members, most specifically the engagement team, to ensure timely and consistent delivery of Midland’s services to its programs, communities, and investors
  • Cooperates in positive and thorough manner to the growth of the organization by providing required assistance to relevant staff and organization’s partners
  • Serve as administrator of the Community Resource Center
  • Track donations and pledges for philanthropic giving
    • Editing, templating, archiving and uploading documents and videos to the website and community resource center as needed
